Reservations & Cancellations

Reservation, payment, cancellation and drop-off terms from our booking agreement

How Your Reservation Works

Here's the path from first request to a confirmed date.

  1. Request a quote

Submitting the Build Your Catering Request form is a request for a quote, not a confirmed reservation. Quotes, inquiries and verbal conversations alone do not reserve a date.

  2. Receive your quote

We review your selections and event details, then email you a custom quote from info@couture-treats.com. The approved itemized quote forms part of the booking agreement.

  3. Sign & deposit

A date is reserved only after both parties sign, we accept the order in writing, and the booking deposit — 50% of the approved food subtotal — clears.

What's Included in Your Quote

  • Every quote includes a 10% delivery & administrative service charge (Nashville/Davidson & Rutherford County) and applicable sales tax. The 10% charge covers delivery and administration — it is not a gratuity.
  • Prices on our menu are per tray unless noted, and your quote reflects the exact items and quantities you select.

Deposits & Payment

Your date is reserved only after both parties sign, we accept the order in writing, and the booking deposit clears.

  • Booking deposit: 50% of the approved food subtotal, due at signing. The deposit is credited toward your final invoice.
  • Final payment — the remaining balance, including approved quantity increases, the delivery and administrative service charge, other approved charges and applicable tax — is due no later than 72 hours before Scheduled Delivery, using the payment methods on your invoice. Full payment must clear no later than 72 hours before Scheduled Delivery.
  • Orders accepted within 72 hours of Scheduled Delivery require full payment at acceptance.
  • The 10% charge covers delivery and administration in Nashville/Davidson and Rutherford County. Other areas or extra charges require a separate written agreement, and no additional fee is imposed without disclosure and your approval.
  • If payment is overdue, we may pause preparation and delivery and send written notice. Unless a different deadline is agreed in writing, you have six hours after notice to cure. No order will be delivered with an unpaid balance.

Final Details & Quantity Changes

Final menu, guest counts, tray and piece quantities, and dietary details must be confirmed no later than 72 hours before Scheduled Delivery.

  • You may finalize guest counts and request quantity increases up to 72 hours before Scheduled Delivery.
  • All increases and menu, date, address, time or dietary changes require our written approval and are subject to availability. Approved increases are added to the final invoice and must be paid by the 72-hour deadline.
  • After the 72-hour deadline, quantities cannot be reduced — fewer guests or unused food do not reduce the bill.
  • Prices cannot change after acceptance except for Client-approved changes or legally required tax adjustments.
  • Material ingredient substitutions require your approval; if an item is unavailable, we will refund the affected item rather than substitute without approval.

Cancellations & Refunds

To cancel, email info@couture-treats.com — the time your email is received determines the notice period, measured from Scheduled Delivery.

  • If cancellation is received at least seven full calendar days (168 hours) before Scheduled Delivery, the booking deposit and other advance payments will be refunded within 14 calendar days.
  • If cancellation is received less than seven calendar days before Scheduled Delivery, or you do not appear or accept delivery, the booking deposit — 50% of the food subtotal — is forfeited. Any other advance payments for undelivered services will be refunded within 14 calendar days, except separately approved, nonrecoverable third-party costs already incurred, which will be itemized.
  • Total retained amounts will not exceed payments received, no duplicate charges apply, and applicable taxes will be adjusted as required by law.
  • We will acknowledge your notice and provide an itemized reconciliation, refunding any excess within 14 calendar days after cancellation.

Rescheduling

Rescheduling is not guaranteed.

  • A new date requires a mutually accepted revised quote identifying any transferred credit, nonrecoverable costs, revised pricing and deadlines.
  • Until a revised quote is accepted, the original booking remains in effect.
  • If no acknowledgment of your cancellation or date-change notice is received within one business day, please call (629) 318-4533 to confirm receipt. Acknowledgment does not determine the effective cancellation time.

Delivery Day & Access

This agreement covers food preparation and one scheduled drop-off delivery.

  • Please arrange venue permission, safe access, parking, security clearance, elevator access and an authorized adult to receive your order during the full delivery window.
  • If no authorized receiver is available or access is blocked, we will call or text the primary and on-site contacts and wait up to 15 minutes after arrival within the agreed window. If handoff still cannot occur, the visit is treated as a no-show under the cancellation terms above, with avoided costs credited.
  • Redelivery requires availability, safe food conditions, an agreed charge and payment. Client-caused delays may affect food quality.

Allergens & Food Safety

We're responsible for safe preparation, packaging and transport through handoff.

  • Please disclose allergies and dietary restrictions before the final-details deadline — only requests we expressly accept in writing are part of the order. A shared kitchen handles common allergens, and we cannot promise an allergen-free environment; we will still use reasonable care and accurately communicate known ingredients.
  • At handoff, responsibility for holding, storage, serving and leftovers passes to you: keep hot perishable food at 135°F or above and cold perishable food at 41°F or below, refrigerate promptly within two hours (or one hour when the ambient temperature exceeds 90°F), and reheat leftovers to 165°F. We provide handling instructions.

Events Beyond Control

An event beyond either party's reasonable control may excuse performance only to the extent it makes performance unlawful, unsafe or impossible — such as a disaster, government closure or serious venue emergency.

  • Ordinary rain, changed plans or lower attendance alone do not qualify.
  • The parties will first consider rescheduling. If no agreement is reached, you pay only for completed work and approved, documented nonrecoverable third-party commitments; unused payments are refunded within 14 calendar days.
  • If we cancel for a reason within our control unrelated to your breach, we will refund all payments for unperformed services within 14 calendar days. A substitute supplier requires your approval.
